Overview of role:

We are currently recruiting a reception Supervisor/ office Administrator in to our Birmingham City office. This is a busy environment providing a great opportunity for someone looking for a fast-paced role in a dynamic office.

Key Responsibilities:

This role will be focused on two core areas:

 Reception/ Office Admin 

  • Meet and Greet RLB clients, external visitors and employees
  • Telephone System management, routing all calls and messages, including voicemails
  • Management of meeting rooms, including booking, refreshment order and supply, and room preparation
  • Responsible for reception area, housekeeping and supplies
  • Ensure that all staff and visitors adhere to the sign in system
  • Sorting of incoming and outgoing mail, franking and distribution
  • Responsible for reprographics area and stationary stock levels
  • Use of outlook and diary management
  • Ordering of Business Cards
  • Ordering of personal Protective Equipment
  • Process supplier invoices onto PO system
  • Co-ordinate contractors for maintenance, refurbishment and office inspections
  • First point of contact for day to day suppliers and contractors
  • Courier incoming and outgoing parcels
  • Printing, binding and document management
  • First aid contact


  • Planning Internal Charity and seasonal events, also assisting with external event planning and implementation
  • Event invitations, updates and attendee tracking
  • Liaising with Marketing dept and suppliers

  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint
  • Excellent organisational skills
  • An Analytical and methodical approach to problems

  • Possess a customer focused approach
  • Self- motivated
  • Possess excellent time management skills
  • The ability to work under pressure to meet deadlines
