Overview of Role:

We are currently recruiting a Receptionist to work on a 12 month maternity cover for our London office. This is a busy and interactive environment therefore this is a great opportunity for someone looking to develop their career in a dynamic office.

Key Responsibilities:

The role will be responsible for a range of support, with key tasks being:

  • Greet Rider Levett Bucknall employees and external visitors on arrival
  • Ensure visitors receive a high-end RLB service in line with branding
  • Management of meeting rooms, including bookings, pre-ordering lunches, preparing refreshments, clearing and replenishing rooms after meetings
  • Ensure the reception area and meeting rooms are kept immaculate and presentable at all times
  • Ensure meeting rooms are stocked with branded materials
  • Use of telephone system for routing of external and internal calls, ensuring all messages are passed to the appropriate person
  • Use of Outlook mail and diary system
  • Ensure both kitchens are fully stocked with tea, coffee, water, sugars and milk
  • Ensure both kitchens are kept tidy and presentable throughout the day
  • Ensure all office printers are fully stocked with paper each day
  • Maintenance of visitor’s book and staff signing in/out record
  • Maintenance of Regus cards and staff signing in/out
  • Sorting incoming mail and distribution to team secretaries
  • Sorting and franking post in evening for collection by Royal Mail
  • Booking local and international couriers
  • Receive and manage housekeeping deliveries
  • Receive remaining deliveries and inform the Office Manager
  • Provide ad hoc assistance to the Office Manager

Person Specification:

The ideal candidate will demonstrate a positive proactive approach to the role and will be committed to delivering customer service excellence.

  • Preferably a minimum of 2 years’ experience
  • Excellent customer service skills
  • Excellent communication skills, both written and verbal
  • Proficient in Outlook
  • Health and Safety trained would be desirable
  • An analytical and methodical approach to problems
  • Able to act quickly and decisively
  • Good attention to detail
  • Ability to use own initiative as well as be part of a team
  • Customer focused approach
  • Use initiative and be self-motivated
  • Excellent organisational and time management skills
  • The ability to work under pressure and meet deadlines
  • A high standard of personal presentation
  • A “can do” attitude
