FACILITIES DIRECTORATE DIGITAL HEALTH CHECK
The University of Leeds engaged RLB Digital to review the management of compliance and estate information across its Facilities Directorate. The project explored how existing compliance information was managed while assessing the need for a common data environment to support broader and more effective information management.
With over 100 acres of mixed-use estate, including heritage and listed buildings, teaching and learning spaces, student accommodation, a library and sports facilities, quick and confident decisions about compliance, safety, risk and investment are essential for the university. However, as with many estates, information was held across multiple systems, processes and teams, making it difficult to consistently access and trust the data needed to support key decisions.

Understanding the current state
Using our Digital Health Check methodology, we assessed people, processes, data and technology across the organisation. Through stakeholder workshops and analysis of existing information, we identified significant opportunities to improve consistency, accessibility and governance of information while reducing complexity, risk and delivering potential cost savings. As well as providing a robust base for build and buy optioneering.
Our findings demonstrated that the greatest opportunity for improvement was not new technology, but a more strategic information management approach. By creating stronger information foundations, rationalising processes and improving collaboration, the University could reduce risk, improve efficiency and make more informed estate decisions.
Roadmap to better information management
The resulting roadmap provided the Facilities Directorate with a clear and prioritised plan to improve information governance, strengthen compliance processes and establish greater confidence in the data used to make strategic estate decisions.
By focusing on information foundations before technology investment, the university is better positioned to improve compliance, reduce risk and make more informed decisions about the future of its estate.
"RLB Digital helped us understand how information supports estate management across our organisation. Their structured approach highlighted practical opportunities to strengthen governance, improve confidence in our data and support more informed decision-making around compliance, risk and future investment."University of Leeds
