Information management solution keeps warehouse revamp on track
A client undertaking a warehouse refurbishment needed a reliable and transparent process to manage project deliverables, especially digital files. These included not only traditional documents but also asset data generated through building information modelling (BIM).
With multiple stakeholders involved and complex requirements at each stage of the refurbishment, the client wanted confidence that the right information would be delivered to the right people at the right time throughout the project.
RLB Digital developed an information management solution that provided more efficient information handling, faster decision-making, and higher-quality data and reports, saving the client valuable time and increasing confidence in the information being received throughout the project life cycle.

Collaborative approach
We worked closely with the client to define exactly what information was needed at each phase of the project. Collaboratively, we set clear expectations around documentation, data formats, and how files should be named and organised. We also outlined the processes that the project team would follow, ensuring consistency and alignment.
Cloud-based platform
By using our cloud-based information management platform, powered by Morta, to manage data and information, the project team was able to plan and track all information deliverables against the set requirements. This gave the client early visibility into what would be delivered and when, enabling them to make more informed decisions throughout the project.
Real-time dashboards
To improve information management further, we helped configure the client’s common data environment, Autodesk BIM 360, and linked it with our planning system. This integration allowed the design team to upload files in a way that was easy to monitor and review. We also introduced real-time dashboards to highlight any gaps or inconsistencies to help the project team stay on track and respond quickly to issues.
Continuous improvement
Throughout the design phase, we regularly checked the data within the building information models to ensure it was progressing as expected. We shared updates with the design team to support continuous improvement and ultimately produced an asset register that could be built upon during construction and handed over for operational use.
“From the outset, our focus was on creating a clear and collaborative process that gave the client confidence in their information. By aligning expectations early and using the right digital tools, we were able to ensure that every deliverable met the required standards. This project is a great example of how structured information management can add real value across the project life cycle.”Rob Jackson, Head of Information Management Services, RLB Digital
